Upgrading Volunteer Management for Nonprofits: From Spreadsheets to Salesforce

Managing volunteers might seem straightforward - and at first, it can be. But things can get complicated fast when you are juggling dozens of spreadsheets and tracking hundreds of names across multiple systems.

That was the situation for a nonprofit we recently partnered with. They had a long-standing tradition of organizing events where groups come together to volunteer and support community projects. These events were incredibly impactful but behind the scenes, their management had become time-consuming and unsustainable.

In parallel, the organization was also managing a large number of individual volunteers, tracking hours spent on volunteering, activities, and training progress. With different systems handling different parts of the process, their staff was spending too much time on manual data entry that could have been spent on engagement and growth.

The goal was to simplify and streamline volunteer management without starting from scratch. Rather than replacing everything, the organization wanted to keep using the tools that already worked for them: a tool for tracking individual volunteer activity and another one for managing volunteer training.

By integrating these systems with Salesforce, we aimed to create a more efficient, scalable solution that brought everything into one centralized view.

Solution

We collaborated closely with their team to build a custom Salesforce process that connects all the parts and reduces manual efforts. Here is what we implemented:

Serve Day - Tracking Group Volunteer Days

We designed a dedicated process in Salesforce to manage Serve Day logistics, replacing scattered spreadsheets with a centralized, scalable setup.  

What we achieved:  

  • Tracking company sign-ups, volunteer roles, and team sizes
  • Simplifying how staff find, organize, and report on Serve Day data
  • Providing a single source of truth for planning and coordination

Import of Volunteer Activity Data

Instead of replacing the existing tool, we chose to import individual volunteer data into Salesforce monthly. This approach gives the team a complete picture of participation and engagement throughout the year. Key features include tracking individual volunteer activity data directly in Salesforce, providing better visibility into trends and service contributions over time.

Integration of the Training Platform with Salesforce

By integrating the training platform with Salesforce, staff can now easily monitor volunteer progress and follow up at the right time. This makes it easier to track course completions and milestones, and to recognize when volunteers are ready for specific roles or opportunities.

Results

By combining the tools and platforms they were already using with Salesforce, we helped the organization lay the foundation for a smarter, more sustainable volunteer management process.

This project demonstrates how nonprofits can evolve without starting over. With thoughtful integration and the right automation, organizations can simplify their operations and focus more on what matters: building relationships and making a lasting impact on the community.
