Mission

Our goal was to transform Ricci Law's Salesforce/Litify environment into a highly optimized, automated, and integrated ecosystem that would:

Solution

Our comprehensive solution can be categorized and explained through four strategic phases, each building upon the previous to create a robust, optimized legal practice management system.

Phase 1: System Assessment & Optimization
  • One of the key areas was the evaluation of Ricci Law's existing Salesforce and Litify environment. Our team conducted a comprehensive review of all installed packages and dependencies, identifying significant system bloat that was impacting performance. Through meticulous analysis, we removed over 15 unused packages and resolved critical dependency conflicts that had been causing system instability. This foundational work included implementing robust health check protocols and monitoring systems to prevent future issues.
  • Simultaneously, we undertook a major optimization of the firm's workflow automation. After analyzing more than 50 existing flows and automations, we consolidated redundant processes and rebuilt core intake flows with advanced logic for matter assignment. This phase also included implementing automated task creation and reminder systems that would prove crucial for the firm's day-to-day operations. To address data quality concerns, we deployed Plauti deduplication tools organization-wide, configuring sophisticated matching rules for contacts and matter records while establishing ongoing duplicate prevention workflows.
  • After the complete analysis of Ricci’s environment, we took on the complicated challenge of reducing the number of total automations per object. This not only improved the overall performance but was also an important step to making the implementation of new features easier.
Phase 2: Integration & Advanced Automation
  • Building on the optimized foundation, we focused on integrating powerful third-party solutions to enhance the firm's document management capabilities. The successful integration of Docrio provided advanced document automation, while MoveDocs integration created seamless document workflows throughout the organization. We configured automated document generation and distribution systems, complemented by secure document signing workflows through the BoldSign integration.
  • Communication automation became a cornerstone of this phase, with the creation of sophisticated email automation flows for client communication. We implemented comprehensive referral management and communication workflows, built automated intake acknowledgment systems, and configured calendar visibility with appointment reminder automations. Legal-specific enhancements included developing Matter Team management automations, creating File Opener role assignment workflows, and implementing Investigation tracking and task management systems. The addition of Community Outreach coordination workflows rounded out this phase's deliverables.
Phase 3: Advanced Features & AI Integration
  • The third phase introduced cutting-edge AI-powered solutions to further enhance the firm's capabilities. We integrated Litify AI tools for expense management and configured AI-assisted invoicing automation, while implementing intelligent case categorization systems and AI-powered insights and reporting.  
  • Security and compliance received significant attention during this phase, with the creation of custom permission sets and profiles, including the specialized "Paralegal Manager" role. We implemented comprehensive field-level security configurations and established role-based access controls for all sensitive matter information, ensuring attorney-client privilege protection. Advanced audit trails and compliance monitoring systems were configured to meet legal industry standards.
  • Our team also undertook a comprehensive overhaul of the firm's reporting and analytics capabilities. After removing over 20 legacy and unused reports, we created custom KPI dashboards. Real-time matter tracking and performance metrics were implemented, along with executive-level reporting designed specifically for firm management decision-making.
  • We have implemented a custom solution for deleting multiple events in a series with only one click. This saved our client from a very cumbersome process of deleting events one by one and provided functionality to keep the reps' calendars clean.
Phase 4: System Maintenance & Futureproofing
  • This phase focused on ensuring long-term system reliability and compliance. We implemented comprehensive data backup solutions through Ceptes integration, configured automated archiving for historical records, and established disaster recovery protocols. Data retention policies were created to ensure compliance with legal industry standards and regulatory requirements.
  • Version management has become a critical component of our ongoing support, with careful management of Salesforce seasonal releases and package updates. We conducted thorough testing of all Litify upgrades and implemented robust change management processes. The establishment of ongoing maintenance protocols ensured that Ricci Law would continue to benefit from system optimization long after project completion, creating a foundation for sustained growth and operational excellence.

Custom permission sets and profiles, including specialized roles like "Paralegal Manager," ensure that staff can access only the information necessary to perform their responsibilities. Automated data backup and archiving systems maintain compliance with legal retention requirements, while comprehensive audit trails provide complete visibility into all matter-related activities.
